Technology Executive summit The Woodlands, TX Creative + technical scope

For HP’s One EO, we built the room from a blank floor plan — scenic, stage, and broadcast as one design.

WHAT THIS SHOWS · FULL CREATIVE AND TECHNICAL SCOPE, ONE PARTNER: HP’s One EO Executive Operations summit gathered its leaders in a Woodlands ballroom, and Space City Pro designed and executed the entire event — a custom half-circle white stage, fabricated 3D scenic backdrops, an LED wall with IMAG and broadcast streaming, personalized headshot sessions for every attendee, breakout sessions, cocktail-hour receptions, and a Neon Cowboy–themed offsite night. One team carried the brand from the first render to the last cue.

01 · THE BRIEF

An executive summit carries the brand in ways a slide never will. HP asked for a room designed to its standard — and a single team to own all of it.

One EO brought HP’s executive operations community together in The Woodlands, and the mandate covered everything an attendee would see, hear, or walk through: the stage, the scenic, the screens, the breakouts, the receptions, and the night out. Design and execution were one contract, so nothing could fall between vendors.

That is the engagement model we’re built for — creative direction, technical production, and show-day operations moving as one plan instead of three.

BRIEF · ONE LINE

Design the whole experience. Then run it.

Full creative and technical scope, one partner: scenic fabrication, staging, video, audio, lighting, breakouts, receptions, and an offsite — held to the standard a global technology brand expects with its name on the door.

02 · THE BUILD

A custom half-circle white stage, fabricated 3D scenic, and an LED wall carrying live IMAG — designed together so the room read as one object.

The centerpiece was a custom half-circle white stage — a shape that pulls the audience around the presenter instead of lining them up against a wall. Behind and around it, we fabricated dimensional 3D scenic backdrops in-house, so the set had depth a printed backdrop can’t fake.

The video system worked as hard as the scenic. An LED wall anchored the visual field, live IMAG put presenters’ faces on screen for every seat in the ballroom, and a broadcast stream carried the program beyond the room. Audio and dynamic lighting were engineered to the same drawing, not bolted on after.

DESIGN PRINCIPLE · ONE DRAWING

Scenic, stage, and screens from a single design file.

When the stage shape, the scenic depth, and the LED sightlines are decided together, the room reads as one designed object — and the cameras, lighting, and audio inherit a plan instead of fighting one.

Every attendee left with a personalized headshot. We ran professional headshot sessions on-site as part of the program — a small operational lift that executives actually use, and the kind of detail that makes an operations summit feel personally worth the trip.

03 · THE PROGRAM

General session by day, Neon Cowboy by night — one team carried the brand across both.

Around the main-stage program we produced the full summit rhythm: breakout rooms and working sessions, cocktail-hour receptions, and the moments in between that decide how an event actually feels. Each space got the same design attention as the ballroom.

Then the summit left the hotel. We designed and produced a Neon Cowboy–themed offsite night — Texas by way of neon — giving the program a second register: looser, louder, and still unmistakably on-brand. Running the offsite with the same crew that ran the ballroom meant the transition was seamless for the client and invisible to the guests.

04 · THE RESULT

One EO ran as a single, designed experience — and HP is a name that appears on this shelf more than once.

The summit delivered what the model promises: a room designed to the brand’s standard, a program that moved between formats without seams, and one accountable team from the first concept render to the last truck out.

HP’s work appears twice in our portfolio — One EO and the 2024 Supplier Summit — which says the quiet part plainly: the standard held, and the phone rang again.
